Assistant Property Manager

Under the supervision of the Property Manager, the Assistant Property Manager is responsible for assisting in all areas defined as a part of the Property Manager job description.  Primary responsibilities include ensuring that the community generates a satisfactory cash flow and that the property is maintained in accordance with ABC Company standards and assures customer satisfaction.

Duties will performed following Company procedures and in accordance with EHO and EEO regulations and guidelines.

Specific Duties and Responsibilities
  1. The Assistant Property Manager should be capable of managing the community in the temporary absence of the Property Manager.  This includes being able to perform all functions which are included in the Property Manager’s job description, or as directed by the Property Manager.

  2. In the absence of the Property Manager, the APM is in charge of the office and shall become responsible for all monies pertaining to the community and must ensure daily bank deposits are made.  Lost or missing funds shall become reimbursable to ABC Company

  3. Show apartments and process applications for prospective residents.

  4. Handle and coordinate all details of move-ins and move-outs.

  5. Accurately process paperwork and ensure all data in the resident files such as income, credit reports, assets etc. are kept confidential.

  6. Prepare and maintain resident files according to Section 42, requirements and company policies.

  7. Initiate the lease renewal process and forward completed packets to the VP for approval.

  8. Process maintenance service requests.

  9. Actively participate in maintaining good resident relations in the community.

  10. Prepare weekly traffic/renewal status reports.

  11. Keep the advertising file up to date.

  12. Cooperate with other departments within the company.

  13. Handle any other special assignments which may be given from time to time
    by the Property Manager.

  14. If there is more than one Assistant Property Manager at a site, the Property Manager will designate the Assistant Property Manager who will be in charge of the property in the Property Manager’s absence.

Minimum Qualifications
Education
Mus have the skills, knowledge and mental development wquivalent to a high school diploma (or GED).

                                    Prefer ARM or CAM designation or the willingness to obtain one.
Experience

Requires no previous experience for an entry level Assistant Manager position.

More experience with leasing, bookkeeping, decision making and property management may be required for more difficult properties.

Skills
Requires oral and written communication skills to the degree of being able to communicate with residents and representatives of ABC Company.

Must have legible penmanship and ability to fill out forms and other paperwork.

Must know how to operate a fax machine and copy machine.

Must be able to work with figures and make bank deposits.

Requires customer service skill in order to resolve problems, answer questions and assist the Property manager with resident complaints.

Must have the ability to work unsupervised and be self motivated while motivating others.

Required to attain skills and knowledge through participation in ABC Company Standard Training.
Physical Requirements
Hearing: Must be sufficient to understand conversation at a normal volume and to communicate with residents, vendors, customers and employees. Must be able to hear noises in and around apartment community such as fights, gun shots, fire alarms and other noises that could be a potiential problem.

Vision: must be sufficient to read reports, insturctions, labels on cleaners and other chemicals, audit vendor bills, write receipts and inspect apartments and grounds.

Manual Dexterity: Must be sufficient to operate office machines and write receipts.

Physical: Must be able to bend, climb stairs, walk around apartment complex to inspect apartments and grounds.

Mobility: Must be able to get from property to main office for training and mettings.

Smell: Must be able to detect different odors such as smoke, chemicals or bad odars in and around complex.

Stress: Must be able to handle stress and meet deadlines.
