Assistant Resident Manager
Under the regular supervision of the Resident Manager, the Assistant Resident Manager has responsibilities for assisting the Resident Manager in one or more of the following capacities: Tenant Relations; Maintenance Administration; Rent Collection; Marketing/New Tenant Identification and Processing; Government Relations; General Administration; and Company headquarters reporting and relations.
Specific Duties and Responsibilities
  1. Assists with rent collection: updates Rent Roll; works with the Resident Manager to reduce the number of tenants who are delinquent in their rent payments.  This activity involves contacting the delinquent tenants by phone or directly by visiting them in their apartments.

  2. As required, writes up maintenance requests and forwards them to one of the maintenance staff members for implementation.  May be requested to develop the daily maintenance staff agendas based on maintenance requests on hand.Confirms that assigned maintenance assignments have been satisfactorily completed by the maintenance staff.

  3. As required and if directed by the Resident Manager, contacts prospective sub-contractors for proposed work which is beyond the capabilities of the local maintenance staff; solicits bid proposals; checks vendor references and forwards all this information to the Resident Manager.

  4. The Assistant Resident Manager receives calls from tenants; these calls could pertain to maintenance needs, complaints, general information or other topics.  If the topic of the call does not need the attention of the Resident Manager, the Assistant Resident Manager handles the call directly and provides the appropriate information or action response to the tenant.

  5. Handles move out and move in procedures.  Inspects apartments upon the departure of a tenant; arranges for maintenance and cleaning personnel to go through the unit prior to turnover to a new tenant; confirms by inspection that the turnover activities were complete and satisfactory, according to company standards.

  6. As directed, assumes responsibility for completing one or more of the reports required by headquarters management.  Meets the reports deadlines in the monthly activities calendar published by headquarters management.

  7. May be required to make routine responses to or to file periodic reports to one or more government agencies on behalf of the property.

  8. Works weekends (Saturdays and/or Sundays), on a rotating schedule with other rental office staff, to identify and process replacement tenants.

  9. Performs other duties as assigned by the Resident Manager.

Minimum Qualifications
Education
Must have a high school diploma, or the equivalent.  (Successful prior general office or rental office experience may be substituted for the diploma.)  The successful accomplishment of courses or seminars in residential property management is highly desirable
Experience

Must have a minimum of two years of experience in a business office with responsibilities for typing, filing, and answering the telephone.  At least 6 months of this experience will have been in a rental office environment.
